To provide administrative support for the Qualifications, Accreditation, Quality Assurance and Assessment Domain Directors.
Job description

• Co-ordinate the Domain Director’s diary and schedule meetings and engagements both internally and externally.
• Manage travel arrangements and attend to all other relevant logistical travel arrangements for the Domain.
• Arrange meetings, forums, workshops, etc. including venues and catering as required for the Domain.
• Prepare meeting agendas and meeting packs and circulate them to the required people prior to the meeting.
• Answer Domain related calls, queries, emails from stakeholders and direct relevant communications to other domains/staff.
• Maintain a database of individuals and their contact details that the Director may require to contact, ensuring speedy connectivity.
• Attend to walk-ins by assisting them or directing them to the appropriate person or domain.
• Assist with timely responses and provide domain support in operational enquiries and executing. instructions received as well as support in domain performance management.
• Prepare communication, reports, presentations and other outputs for the Domain Director.
• Provide clerical, administrative and secretarial support function for the Domain Office.
• Ensure record-keeping, capturing and maintenance of data.
• Ensure timeous and accurate collection of quarterly and annual evidence and the submission thereof in the required format.
• Filing documents on Share Point for easy retrieval and send required links to stakeholders.
• Adhere to the QCTO’s File Plan and ensure its maintenance.
• Receive and document all incoming documents or mail and distribute to relevant managers in the Domain.
• Track and follow up on documents that were sent from/between Managers that require action or approval.
• Track domain related activities and queries to ensure closure.
• Professional interaction with Quality Partners, Assessment Centres, Skills Development Providers (SDPs) and all other external and internal stakeholders.
• Source information as requested.
• Perform any other duty that may be reasonably assigned by the Director and Deputy Directors in the Domain.
• Participate as an active member of the QCTO.
• Assist colleagues as required.
• Adhere at all times to the QCTO Values.

Minimum requirements

A recognised Grade 12 certificate or an equivalent qualification (minimum NQF Level 4) registered on the NQF. A minimum three-year diploma (NQF6) in the relevant field. . A minimum of 12 months’ work experience in administration or data capturing. Excellent understanding and proficiency in Microsoft Office suite, e.g. Outlook, Word, Excel, PowerPoint MS-Teams, SharePoint, etc.

 Knowledge Requirements:
Must have knowledge of the Public Service and QCTO, education system, and the post school education and training sector.
